Cancellation Policy
At Houlbrook Physiotherapy, we are dedicated to helping you achieve your goals and maintain your independence. We understand that life happens – illness, family emergencies, or unexpected events can pop up, especially when managing health and rehabilitation.
Our physiotherapists often travel to home visits across Cheshire or prepare for clinic appointments at The Coach House Clinic, short-notice cancellations make it difficult for us to offer that time to another patient who may be waiting for care.
To help our service run smoothly for everyone, we kindly ask for your cooperation with the following policy:
1. Notice Period
- 48 Hours’ Notice: We ask that you give us at least 48 hours’ notice if you need to cancel, reschedule, or change your appointment.
- Providing 48 hours’ notice allows us to reallocate your appointment time to someone else needing treatment or adjust our home-visit travel routes effectively.
2. Cancellation Fees
- More than 48 hours’ notice: No charge. We will gladly help you reschedule your appointment for a more suitable time.
- Less than 48 hours’ notice: 50% charge of appointment. We will gladly help you reschedule your appointment for a more suitable time.
- Less than 24 hours’ notice or missed appointments (No-shows): Will be subject to a cancellation fee of up to 100% of the session cost.
3. We Understand Exceptional Circumstances
We know that unexpected health changes, sudden illnesses, or family emergencies occur. We will always treat each situation with kindness and flexibility. If unforeseen circumstances arise, please let us know as soon as possible so we can discuss your situation.
4. How to Cancel or Reschedule
If you need to change your appointment, please reach out to the clinician you are seeing directly as early as you can:

If you leave a voicemail or send an email outside of normal operating hours, the time stamp on your message will count as your notice given.
5. Cancellations by Houlbrook Physiotherapy
On rare occasions, your physiotherapist may need to reschedule due to illness or unforeseen travel disruptions. If this happens, we will notify you as soon as possible and prioritise rebooking your session at the earliest convenient time for you.
